Refund & Cancellation Policy

1. Introduction

This Refund & Cancellation Policy outlines the terms and conditions under which Maharashtra Sports Climbing Association (MSCA) processes refunds and cancellations for program registrations, memberships, competition fees, and other services.

Please read this policy carefully before making any payment or registration. By making a payment or registering for a program, you agree to be bound by this policy.

2. General Refund Policy

All payments made for program registrations, memberships, competition fees, or any other fee-based services are subject to the specific refund rules described in this policy.

Refunds are not guaranteed and may only be provided under the circumstances defined in the sections below.

3. Training Programs and Memberships

3.1 Cancellation by Participant

Participants may cancel their registration; however, no refund will be issued once payment has been processed.

Refund Schedule:

  • No refund policy — no amount will be refunded once paid.

3.2 Cancellation by MSCA

If MSCA cancels a program due to:

  • Insufficient enrollment
  • Instructor unavailability
  • Facility issues
  • Force majeure events (natural disasters, pandemics, government restrictions)

Participants may receive a full refund or may choose to transfer to another available program.

3.3 Program Modifications

If MSCA modifies a program (schedule, location, or content), participants may:

  • Accept the modifications
  • Request withdrawal (no refund)
  • Transfer to another program (subject to availability)

3.4 No-Show Policy

Participants who do not attend a program without prior notice are not eligible for any refund.

4. Competition Registrations

4.1 Competition Entry Fees

Competition entry fees are generally non-refundable once registration is confirmed.

Refunds may be considered only in the following cases:

  • Competition cancelled by MSCA: Full refund
  • Competition postponed: Option to participate in rescheduled event or full refund
  • Medical emergency (with documentation): 50% refund if withdrawal is more than 7 days before the competition
  • Withdrawal more than 14 days before competition: 50% refund
  • Withdrawal less than 14 days before competition: No refund

4.2 Disqualification

Participants disqualified due to rule violations or misconduct are not eligible for refunds.

5. Refund Process

5.1 How to Request a Refund

Include:

  • Transaction ID
  • Date of payment
  • Reason for refund request

Subject line: "Refund Request – [Your Name] – [Transaction ID]"

5.2 Refund Review

All refund requests are reviewed within 5–7 business days. Additional documentation may be requested.

5.3 Refund Processing Time

Once approved, refunds are processed within 10–15 business days via the original payment method:

  • Credit/Debit Cards: 5–10 business days
  • UPI/Wallet: 3–5 business days
  • Bank Transfer: 5–7 business days
  • Cash/Check payments: Refunded via bank transfer (7–10 business days)

5.4 Refund Method

Refunds will be issued using the original payment method whenever possible. If unavailable, an alternative method will be arranged.

6. Non-Refundable Items

The following are non-refundable under all circumstances:

  • Administrative fees charged for refund processing
  • Merchandise (unless defective or incorrect item)
  • Payment gateway processing fees
  • Services already rendered or consumed
  • Membership fees for periods already started

7. Special Circumstances

7.1 Medical Emergencies

Refunds may be considered if:

  • Valid medical documentation is provided
  • Request is made before or within 7 days of program start

Refund amount will be determined on a case-by-case basis.

7.2 Force Majeure

In case of natural disasters, pandemics, or government restrictions, MSCA may:

  • Reschedule programs
  • Offer credit for future programs
  • Provide full or partial refunds at its discretion

8. Dispute Resolution

If dissatisfied with a refund decision, you may:

  • Request a review with additional documentation
  • Contact customer support
  • Escalate to MSCA management

All disputes will be handled in good faith and according to applicable Indian laws.
